GLOBAL RELATIONS, VISIBILITY, & COMMUNITY SPECIAL PROJECTS DIVISION

Inter-Institutional Cooperation & International Network Unit

  • Identify and select new partner institutions.
  • Foster close cooperation with existing partner institutions.
  • Monitor strategic relationship activities and collaborations.
  • Strengthen UTeM's participation in international academic organizations.
  • Build relationships and strategic networks with foreign embassies and international professional bodies.
  • Maintain close relationships with foreign embassies in Malaysia.
  • Evaluate new LoI, MoU/MoA documents based on international cooperation criteria.
  • Coordinate and monitor the management of signing Letters of Intent (LoI), Memorandums of Understanding (MoU), and Memorandums of Agreement (MoA).
  • Report activities under the Letters of Intent, MoUs, and MoAs.
  • Update the status of active international relationships for reporting to the Ministry of Higher Education (KPT).
  • Coordinate the International Cooperation Relations Committee at the university level.

Branding, Visibility & Special Community Projects Unit

  • Manage, coordinate, and monitor complaints from university customers through UTeM’s e-complaint system, BPA, KPT, Melaka State Government, UGlobe Email Accounts, etc.
  • Brand management (billboards and directional signs).
  • Manage print and digital media management.
  • Handle all media invitations to UTeM events.
  • Manage and coordinate UTeM's visibility through news, articles, editorials, and special articles in TV/newspapers and media statements.
  • Plan and manage media-related programs to enhance UTeM's visibility and newsworthiness in academia, research and innovation, industrial and community networks, student affairs, internationalization, commercialization, and talent.
  • Handle press release writing, articles, etc.
  • Prepare and manage press kits for all interviews and TV/radio broadcasts by university management.
  • Manage and coordinate programs that strengthen strategic relationships with media outlets.
  • Promote programs through print and digital media.
  • Assist in providing newspaper clippings and uploading them to the gallery portal and UTeM info.
  • Manage the preparation of University Annual Reports.
  • Manage the production of the Ministerial Notes and Memorandums.
  • Coordinate and manage all UTeM special projects involving staff, students, and the community.

CORPORATE COMMUNICATION DIVISION

Event Management Unit

  • Manage, coordinate, and monitor all protocols and VIP guest invitations for university events.
  • Handle all incoming visits from schools, institutions, agencies, and organizations, both domestic and international, including VVIPs.
  • Act as liaison officer for Melaka State Government agencies, the Office of TYT Tun Chancellor, and the Chief Minister’s Office of Melaka.
  • Manage, update, and monitor the display of official portraits at every Responsibility Center in UTeM.
  • Monitor the branding and corporate image of UTeM on promotional and university announcement items.
  • Manage corporate attire, batik, and lounge suit procurement for the University Board of Directors and Senior University Officers.
  • Manage corporate attire and batik procurement for university members.
  • Plan and manage UTeM Corporate Gallery at the Chancellery Lobby.
  • Handle the procurement of UTeM promotional corporate gifts.
  • Distribute promotional and corporate gifts.
  • Manage and monitor corporate gift inventory status.
  • Handle photographer and videographer requests.
  • Schedule photography and videography assignments.

Art and Design Unit

  • Coordinate layout preparation (design) for :
    1. Promotional materials
    2. Printed materials
    3. Electronic materials
    4. New media
    5. LED displays for programs/events/ceremonies
  • Manage new media.
  • Coordinate updating information and visibility of UTeM on New Media (University & Vice-Chancellor), UTeM Portal, and LED displays.
  • Promote programs via New Media.
  • Prepare UTeM Diaries.

Multimedia Unit

  • Manage video production requests.
  • Manage video recording requests.
  • Schedule video and audio recordings.
  • Advise on video recording and production projects.
  • Plan multimedia asset purchases.
  • Manage the department's financial planning.
  • Plan and manage multimedia staff training.
  • Manage the PNC website and University Website content.
  • Manage SCP (Single Camera Production) video recordings.
  • Manage MCP (Multiple Camera Production) video recordings.
  • Manage audio recordings:
    a) Voiceovers
    b) Dubbing
  • Manage drone recordings (Aerial View).
  • Perform rough video editing based on project requirements.
  • Provide complete equipment for SCP/MCP recording sessions.
  • Produce videos:
    a) Montage videos
    b) Info/infographic videos
    c) Promotional videos
  • Develop motion graphics for multimedia materials.
  • Develop video compositions for special visual effects.
  • Perform rough editing based on customer requests (offline).
  • Perform final editing for presentations (online).
  • Provide multimedia viewing materials.
